 Rental Contract

 

 

You must read and agree to this contract of terms and conditions before your booking is completed. Please read your Vacation Rental Agreement in full.  All policies are strictly enforced. It is the responsibility of all guests to be familiar with all policies pertaining to rental.
 
RESERVATION REQUIREMENTS
 A two night minimum is required on all reservations excluding major holidays and festivals which may require 3 nights or more. Your reservation will be confirmed upon receipt signed rental agreement, photocopy of valid Driver's License (or proper ID), and 50% down payment. We accept Visa and MasterCard, or Discover. If you wish to set up another form of payment please contact us. A damage deposit will be charged.  Renter must be at least 25 or older to reserve a 1-3 Bedroom property and 30 to rent a 4+ Bedroom. Rental guest understands and agrees that we will accept families, married couples, and responsible adults over the age of 25.  People under the age of 21 MUST BE accompanied by their parents or guardians at all times while on the property.  We reserve the right to refuse rent to anyone who has rented from us in the past and caused problems.
 ONE NIGHT RENTALS 
All the cabins require a two night minimum stay.  Occasionally we can rent for one night on a "walk-in" basis only.  All one night stays will be at the weekend rate.  No advanced reservations for one night rentals will be made.
 RENTAL RATE ADJUSTMENTS 
 If a reservation includes a weekend night, both nights will be at the weekend rate.  Some holidays require a 3 or more night stay.  If your reservation applies for a Free night, all nights will be at the weekend rate. 

3 Night Minimums:

  • Memorial Day
  • 4th of July
  • Labor Day
  • Christmas
  • 4 Nights are required for our Thanksgiving Rentals

All published rates are nightly rates with the exception of the weekly rate which is stay 6 nights, get the 7th free.  To get a free night, all nights must be at the weekend rate.  Rates are subject to change, however the rate that was plugged into your reservation will be honored.
PAYMENT 
When you make your reservation, your credit card will be charged 50% of the total amount due. We accept Visa and MasterCard or Discover.  Any other kind of payment must be verified with management.  The remaining balance of your reservation is due 7 days prior to arrival.  If we have not received the alternate payment by this date, the credit card on file will be charged the balance.
 RESERVATION MODIFICATIONS
We understand mistakes happen. However, If you modify your reservation more than once, you are subject to a $50.00 administrative fee. When modifying your reservation an email confirmation will be sent by A-1 Vacation Rentals, Inc.  Changes can only be made 14 days or more in advance.  We will not accept any kind of modifications after that time frame.
 ACCOMMODATIONS 
All of the vacation rentals are individually owned with A-1 Vacation Rentals having no ownership interest. Each property reflects the taste of each owner.  We cannot be held responsible, nor do we give any refunds, for any changes made by the owners in furnishings or amenities supplied.  All listing information is thought to be accurate.  However, the amenities can be changed. 
NON SMOKING POLICY 
We have a very strict Non-Smoking Policy. Absolutely NO SMOKING is allowed inside any of our properties. If smoking is detected, or there is any evidence, in the property, you will be charged $250.00 to the credit card on file.
 CANCELATION/RESCHEDULING POLICY
In the unfortunate event that you must cancel your reservation the following must happen:
-Send us an email regarding the cancelation of your reservation.  Please include your reservation number, arrival date, and departure date.  We will not make any kind of cancelation without this email.
-If you have not heard back from us regarding the cancelation within 24 hours, please give us a call.  Email accounts have issues all the time.
-Please read and understand our cancelation refund policy:
                If a cancelation is made 14 days or more in advance, you are subject to a refund (Less $55 for 1-3 bedrooms, $100 4+ Bedrooms).  If it is 13 days or less, you will forfeit the 50% you had paid down.  If it is 7 days or less, you are then considered a “No Show” and will have the full amount forfeited.
 
Check IN/OUT
Check in: 4pm
Check Out: 11am
 
Check in starts at 4.  This allows for us to make sure your property is ready to go.  No early check in can be made unless verified with reservations.  There is a $50 early check in charge.  This early check in starts at 1pm.  Check out is at 11am.  If your keys have not been turned it by 11:15am, you will be subject to a $100 late departure fee.  Anything after 12pm will result in a charge, to the credit card on file, for another nightly stay.  You can make arrangements for a late check out on your reservation, or through our office.  This fee is also $50.00 and your departure will be 1pm.  WE DO NOT ALLOW EARLY ARRIVAL/LATE DEPARTURE ON ANY 4+ BEDROOM PROPERTIES!
 
Check in Policy:
You will need to come to our office to check in.  We are located on Main Street, directly across from the America’s Best Value Inn.

 At Check in, we request that you have your ID ready.  We will need the ID that matches what is on the reservation.  We do not allow a guest to check in for the renter.  We will give you the address, map, and key.  Upon arrival of your property, please do an evaluation.  If you see any kind of damages, cleaning issues, maintenance, etc. please call our office.  Any calls, regarding maintenance, made after 5pm are subject to be addressed on the next day.
Check Out Policy:
Please follow all directions given in the departure agreement.  Make sure that you have put all your linens in the bathroom floor, turned the thermostat to the appropriate temperature, taken your trash out, and make sure your grill is cleaned.  Please have your keys back to the office by 11:15.  If housekeeping has to do above and beyond our normal cleaning, you will be charged an extra cleaning fee. 

  • Make sure that your grill has been properly cleaned
  • Place all linens in bathroom floor
  • Place all dishes in the dishwasher & run cycle before departure
  • Make sure cover is on Hot tub & the thermostat is placed at the correct temperature
  • Make sure all debris has been picked up off floor & counters
  • Make sure all doors & windows are locked

 Appliance/Mechanical Failure
 A-1 Vacation Rentals is not responsible for any appliance or mechanical failure.  This includes any cable, satellite, internet services, etc.  Any maintenance calls made after 5pm for any mechanical failure is subject to be addressed the next day.  No refunds will be given for any kind of mechanical/appliance failure.
 Phones
 Some of our properties are equipped with telephones.  We ask our guests to not make any long distances calls.  If any long distance calls have been made then guests will be responsible for any charges that may occur.
 Hot Tubs/Pools/Fireplaces/Grills
To protect your health, all hot tubs have been drained, sanitized, and refilled after every guest.  This means that it can take 4-6 hours for the tub to reheat, so it may take up to 10pm for your tub to be at the right temperature. In the event of a hot tub failure that cannot be fixed, a $25.00 refund can be given.  The chemicals in the hot tub can cause fading of swimsuits.  Also, please check the temperature of your tub before entering.   Fireplaces are seasonal.  They are to be used Oct 1st-April 30th.
Some of our properties have private pools or community pools.  Please make sure you read all directions and policies before entering.  A-1 Vacation Rentals is not responsible for any pool issues.
Grills may be used at any time of the year.  Make sure your grill is cleaned before your departure.  If your grill is left dirty, you will be charged a $30.00 fee.

 Pet Policy 
We have a few properties that are pet friendly.  Upon booking, you must let the reservationist know of a pet during your stay.  A $55 nonrefundable pet fee will be applied to your reservation.  If evidence of a pet has been found in your not pet friendly property, a $250.00 pet fee will be charged.
 
NO HOUSE PARTIES/ NO EXTRA GUESTS 
Rental Guest understands that there shall not be any extra guests.  The fire Marshall has set limits on guests per property.  Any extra guests will result in the forfeit of your deposit and immediate eviction.  There shall be no tents or camping of any kind of the property at any time. 

 REFUND POLICY 
All qualified refunds are decided by management and can take up to 2 weeks.  Once you have been contacted about the refund request, someone from management will contact you regarding this matter.  No refunds will be given for any power outages, acts of God, appliance/mechanical failure, rough roads, inclement weather, pests, or water main breakages.  Rest assured that you cabin has been properly treated.  In case of the event of a power outage, we suggest bringing your own flashlights. 

 DOUBLE BOOKINGS 
Double bookings are rare.  In the event that Guest(s) reservations for rental property overlaps or matches the reservation of another tenant, Agent reserves the right to relocate Guest(s) to a different rental property within Agent's rental program or that of another company.  Every effort will be made to ensure that the replacement property is reasonably comparable to the original property booked.  Agent(s) shall have the sole right to select such replacement rental property.  Agent(s) agrees to pay any additional charges due in excess of the rental amount for the rental property, and refund any amounts paid by Guest(s) in excess of the replacement property rental amount.   Guest(s) will have the option to accept the replacement property or reject the replacement property and receive a refund of all rents and fees paid for the rental property.  Guest(s) agree that the Guest(s) choice between these alternatives will be Guest(s) sole remedy for any and all damages, liability, or inconvenience arising out of the double booking.

 HOLD HARMLESS AND LIABILITY AGREEMENT 
 Guest(s) agree to indemnify and hold harmless A-1 Vacation Rentals, Inc., its owners, employees, and contractors for any liabilities, theft damage, cost or expense whatsoever arising from or related to any claim or litigation which may arise out of or in connection with Guest(s) use and occupancy of the rental property including but not limited to any claim or liability for personal injury or damage or theft of property which is made, incurred, or sustained by Guest(s).  A material breach of this Agreement by Guest(s), which, in the sole determination of the Agent, results in damage to the Premises, personal injury to Guest(s) or others, a breach of the peace, a nuisance to others, or a violation of criminal law or local code, shall be grounds for termination of Guest(s).  Violation of any of the rules contained herein will result in IMMEDIATE EVICTION and forfeiture of rent and/or security deposit.
 PROPERTY BECOMES UNAVAILABLE In the event that the owner of his privately-owned dwelling elects to remove his property from the management responsibility of A-1 Vacation Rentals, Inc., or property becomes unavailable due to sale or damage; A-1 shall not be held liable by guest(s).  However, A-1 will make every effort to move the guest(s) reservation to a comparable property for that same time period if at all possible.  A move of this nature may result in an increase or decrease in the rent charges depending on the property that is mutually agreed upon between A-1 and the guest(s).  If no agreement can be reached the guest will be provided with a refund in the form of a gift certificate that may be applied toward a future stay.

 LINENS AND SUPPLIES 
Here at A-1 Vacation Rentals we supply the starter set of linens and toiletries.  We suggest you bring extra towels, especially if you are going to use the hot tub or go tubing.  We also suggest bringing toilet paper, paper towels, etc.  We do not supply laundry detergent.

 LOST AND FOUND 
Homeowner and A-1 Vacation Rentals, Inc. are not responsible for articles left on premises.  If you leave an item behind, we will be happy to return it to you if you provide a USPS self-addressed stamped envelope, or you may send UPS with a box and shipping label to pick up the item. Lost and found items will be held for 14 days.  After such time all items will be disposed of.  We will not send them out unless you send this prepaid package.

 

Wildlife & Pest Control
Your vacation rental is treated Bi-Monthly for insects.  Unfortunately, on occasions, these creatures still find their way indoors.  While we cannot refund any money for insects, should arise, A-1 Vacation Rentals, Inc. will contact the pest control company the next business day and schedule a retreatment.  In the North Georgia Mountains there are a number of different animals and wildlife species you may encounter.  It is imperative that you DO NOT FEED THE ANIMALS you come in contact with.  Feeding the animals directly or by not securing your trash can result in bodily injury or death.



 SECURITY/DAMAGE DEPOSIT 

Upon your arrival, we will have you sign our paper work for the security deposit waiver.  This entitles us to charge for any kind of damages or the departure agreement not being followed. Please read your information before your check in.
**Please note:  Upon arrival of your property, please inspect everything.  If there are any kind of damages that you notice, report them to the office immediately.  If a damage is found after your departure, you will be charged for it.
 
Departure Agreement
Check out time is at 11 am.  Please have your keys back to our office no later than 11:15am.  If your keys have not been turned in by this time, you will be charged a $100 late fee.  Anything after 12pm will result in another nightly charge.
Upon departure of any A-1 Vacation Rentals property, please following the directions below.  If the procedures listed below, as well as in the Terms & Conditions are not followed, guest is subject to extra charges.  By Signing the Terms & Conditions, you are agreeing to follow these directions.
 

  • Keys must be turned into the A-1 Vacation Rentals office.
  • All trash from the inside the property and surrounding outside areas must be placed in the outside trash cans provided.  Please do not throw any cigarette butts out into the yard or decks.
  • Make sure you have picked up any debris on the floors. 
  • Please place all dirty dishes into the dishwasher and start the cycle before departing.
  • Place all towels, washcloths, and hand towels in the bathroom floor and the bed linens at the foot of the bed
  • Check to insure all lights and small appliances have been turned off.
  • Leave the thermostat on 80 degrees during summer and 55 degrees during the winter.
  • Check for your items.  A-1 Vacation Rentals is not responsible for personal items that have been left in or on the property.
  • Please ensure all doors and windows are locked before departing.Thank you for complying!

Smoking: 
Any sign of smoking inside the property (Cigarette butts, ash, burns, odor, etc.)--$250.00

Lost Keys: All Keys must be returned to office upon departure--$50.00

Heat & Air Settings: Please set all thermostats to 55* (Winter) and 80* (Summer)--$50.00

Hot Tub: Please place the hot tub cover back on the tub after each use and upon departure.  Any damage to the cover needs to be reported or it will result in a charge. --$450.00+

Dishes:  Please place all dishes in dishwasher and turn on cycle.  All dishes must be clean upon departure (dishes can be left clean in dishwasher)--$25.00

Stains: Floor and Linens--Any sign of recent stains, scratches, dents, etc. on floors.  Any non-removable stains to sheets, towels, hand towels, washcloths, blankets, pillows, etc. (Mascara, Make up, etc.)--Amount of replacement and/or repair

Doors & Windows: Please secure all windows and doors--$50.00

Trash: All trash must be bagged and placed in provided containers.  Extra trash that does NOT fit must be brought to our office upon departure.  All debris left in property, on floor & counters, need to be put in trash bags.--$50.00
